Opportunity for an experienced EA to join a progressive company – rapidly expanding through acquisition and development

Through their programs and operations, they increase research and development, promote local services and suppliers, strengthen skilled labour and support greater indigenous business participation.

A newly created opportunity has arisen for an experienced Executive Assistant to provide extensive administrative support to both the Chief Executive Officer (CEO) and Chief Commercial & Strategy Officer (CCSO) based in their new North Adelaide head office.

The Role

Your duties will include:

  • Managing the day to day running of the office including managing and prioritising incoming requests, inbox management and scheduling appointments on behalf of executives
  • Coordinating internal and external meetings, including client and partner engagement ensuring all arrangements are made to meet organisational and executive needs
  • Organising and managing logistics for board meetings, including scheduling, preparing agendas, and coordinating materials for distribution to board members
  • Attending board meetings, taking accurate and detailed minutes and ensuring timely distribution to relevant stakeholders
  • Following up on action items and ensuring the completion of tasks arising from board meetings
  • Maintaining a comprehensive record of board meeting minutes and other governance documentation
  • Providing administrative support for corporate projects led by the executive team
  • Collaborate with internal teams and external stakeholders to ensure seamless execution of project task
  • Other executive support and administrative duties as required by the business

About You

  • Extensive experience working as an EA supporting the executive team
  • The ability to handle sensitive and confidential information with professionalism and discretion
  • Strong ability to manage multiple tasks simultaneously and effectively priories work in a fast-paced environment
  • Excellent written and verbal communication skills, with the ability to liaise with stakeholders at all levels with confidence
  • High attention to detail in minute-taking, document preparation and follow-up
  • Exceptional time management skills with the ability to anticipate needs and deadlines effectively
  • Some ad hoc travel for meetings may be required on occasion
